4. Our Legal Basis for Processing

Under the GDPR, we must have a valid legal basis for processing your personal data. We rely on contract where processing is needed to take your booking, communicate with you about your journey, and provide the chauffeur service you requested.

We rely on legitimate interests to run and improve our business, keep records for accounting purposes, maintain the security of our vehicles and website, and respond to general enquiries. We rely on legal obligation where processing is needed to comply with Irish tax, accounting, transport or lawful authority requirements. We rely on consent where we ask for your permission specifically, such as optional marketing emails or non-essential cookies.

5. How We Use Your Personal Data

We use personal data to respond to enquiries and provide quotes, confirm and manage bookings, deliver chauffeur services, coordinate pick-up and drop-off arrangements, communicate before, during and after your journey, arrange invoicing and separate payment processing, maintain business and accounting records, improve our website and services, comply with legal and regulatory obligations, and send service-related communications.

6. Who We Share Your Data With

We do not sell your personal data. We may share it with trusted third parties who help us run our business, including chauffeurs and drivers, payment processors, IT and website service providers, email providers, analytics or map providers, professional advisers such as accountants or insurers, and public authorities where disclosure is required by law.

Any third party who processes personal data on our behalf is required to handle it securely and only in line with our instructions.

7. International Data Transfers

Where possible, we store and process personal data within Ireland and the European Economic Area. Some service providers, such as website hosting, form handling, maps or analytics tools, may transfer data outside the EEA. Where this occurs, we rely on appropriate safeguards, such as Standard Contractual Clauses, to protect your data in line with GDPR requirements.

8. How Long We Keep Your Data

We retain personal data only for as long as necessary for the purposes set out in this policy, including to satisfy legal, accounting or reporting requirements. Booking and journey records may be retained for up to 7 years in line with Irish tax and accounting record-keeping obligations.

Enquiry form submissions that do not result in a booking may be retained for up to 12 months, then deleted. Marketing consent records are retained until you withdraw consent or unsubscribe, plus a reasonable period to evidence compliance. Where we no longer need personal data, we securely delete or anonymise it.

9. How We Protect Your Data

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration. These include restricting access to personal data to those who need it to carry out their role, using secure systems for storing booking and contact information, and reviewing our practices periodically.

No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

10. Your Rights

Under the GDPR, you have the right to access your personal data, request correction of inaccurate or incomplete data, request erasure where there is no legal reason for us to continue holding it, request restriction of processing, request portability where technically feasible, object to processing based on legitimate interests, and withdraw consent where processing is based on consent.
